Position Summary:
Under the supervision of the Director of Planning & Policy, provides grant writing, fundraising and administrative support to the agency; and under the supervision of the Assistant Executive Officer (AEO) provides administrative/compliance functions for grants and contracts of the Native American Health Centers, Inc.
Specific Responsibilities:
Development & Planning:
1. Work with the Director of Planning & Policy to develop a plan that reaches a broad spectrum of potential donors with the goal of establishing stability.
2. In collaboration with the Director of Planning & Policy, develop all written materials to support fundraising activities including grant applications, letters of intent, external correspondence and mail outs.
3. Prepare completely any grant applications including narrative, budgets, and additional forms and attachments as requested by the funder.
4. Ensure that assigned grants and contracts are filed and properly maintained.
5. Develop and maintain grant and donor files in order to coordinate all fundraising activities.
6. Develop fundraising prospects and grant opportunities, serve as a liaison between the organization and established and potential funders.
7. Work with the Fiscal Department to ensure accurate and timely monthly, annual and project financial reports, prepare grant and donor data analysis for annual financial audit, and ensure that all legal and fiscal requirements for grant and donation acknowledgement are met.
Grants and Contracts:
1. Submit reports and required documents to grant and contract agencies.
2. Keep up-to-date grant/contract files for program compliance and auditing.
3. Serve as a liaison for departmental supervisors in grants/contracts management, and conduct meetings to facilitate planning, preparation, reporting required and staff training.
4. Review budgets, budget modifications and salary allocations and prepare them as necessary.
5. Make recommendations to immediate supervisor for programmatic needs.
6. Assist in planning, development, implementation and evaluation of various programs as requested with assigned grants and contracts.
7. Coordinate with departmental directors and supervisors in meeting program goals and objectives, evaluate project progress and assist in overcoming barriers with assigned grants and contracts.
8. Assist with the preparation and monitoring of program reviews, evaluations and audits.
9. Follow grant/contract procedures/systems for program compliance.
General:
1. Development Associate/Contracts & Grants Administrator shall work well under pressure and meet multiple and sometimes competing deadlines.

Qualifications:
1. A Bachelor’s Degree in Communication, Business Administration, Arts & Humanities, Ethnic/Native American Studies, or other relevant field is required.
2. At least three (3) years of experience in fund development, with a successful track record in proposal writing.
3. Knowledge and experience in grant management, including budgets, modifications, and reporting.
4. Knowledge of Federal, State and County contracting requirements
5. Demonstrated ability to exercise sound independent judgment and to analyze and resolve problems.
6. Demonstrated ability to effectively manage time, interpersonal relationships, resources and information.
7. Demonstrated ability to communicate in a clear, concise and effective manner verbally and orally.
8. Demonstrated ability to plan, implement, manage and evaluate fundraising activities and other special events, including budget development and monitoring.
9. Strong planning and organization skills with high attention to detail.
10. Ability to motivate and maintain effective working relationships with staff and volunteers from diverse cultures.
11. Experience with Microsoft Office applications required. Experience with donor database software also preferred.
